Drafts, edits, and prepares routine correspondence based on preapproved document templates. Receives, calendars, and processes all notices of proceedings before the Division of Administrative Hearings (DOAH). Responsible for scheduling court reporters, witnesses and locations for all depositions and formal hearings for assigned attorneys.
Ensures appropriate purchase orders are requested prior to services rendered. Schedules and coordinates witness conferences, and pre-trial meetings for assigned attorneys. Prepares notices, motions, subpoenas, and pleadings for attorney review and signature; and files documents at DOAH. Prepares exhibits, including redacting of confidential information, and prepares notebooks for trials or hearings. Works with assigned attorneys to ensure deadlines are met. The Program Administrator is responsible for assurance of family planning program linkages to both DOH clinical/case management as well as community services. The Administrator provides staff who provide family planning care coordination and case management activities to ensure DOH patients receive a variety of medical, social, and educational services. Additionally, the Administrator provides staff who provide education in family planning and STD/HIV, linkage between hospitals and DOH clinical care, including Healthy Start and School Health. Act as a consultant for DOH clinics.
Coordinates, participates, and contributes to the annual Family Planning audit/site visit. Serves as a point of contact and consultant for Healthy Start on Family Planning. Acts as the lead contract manager for the sterilization grant and provides monitoring of the grant including audits. Ensures the timeliness of the initiation and completion of any contracts assigned. Follows up with providers, the budget office and other resources as needed. Submits accurate reports, inputs data into the FACTS system, receive/processes/routes invoices affiliated with the assigned contract(s), and confers with appropriate parties to address any barriers, reviews, approves invoices monthly with invoice performance analysis and summary of contractual services agreement for CHD business manager approval and submission for payment.
Reviews and ensures compliance with Family Planning sterilization processes/program. Provides onsite/off-site consultation as needed; participates in meetings/leadership or clinic activities as related, resolution of problems, maintains staffing and provides good communication between agency, providers, and patients. Also, this Administrator is responsible for assurance of staff conducting visitation at SHANDS Mother-Baby Unit for registration of post-partum patients and the newborn visits at Florida Department of Health in Duval clinics.
Enforce the contract terms and conditions and serve as a liaison to the various contracts. Write, assemble, and ensure execution of all contractual documents including needed and/or required attachments and exhibits in accordance with established Department policies and guidelines. Prepare and process all Contracts/Agreements, renewals, amendments, and close-outs. Maintain the files of record pertaining to the contracts managed.
Monitor providers’ performance and programmatic terms of the Contract. Ensure the provider has met all Contract terms and conditions, and all requirements specified in the Standard Contract. Prepares and distributes the Monitor Report before each site visits. Monitors all Contracts and issues any needed corrective action plans. Provide follow-up to issued corrective action plans to ensure identified deficiency(ies) are corrected. Ensures the provision of Family Planning Clinical Technical Assistance/Training: One on one or small group educational sessions to support Title X Family Planning requirements in the clinics: Train the Trainer educational sessions to clinical staff, local services providers, community stakeholders on Best Practice.
