Hawaii Employers to Succeed. EXECUTIVE ASSISTANT TO THE CEO Pro Service is seeking a highly motivated and results-oriented individual to be our Executive Assistant to the CEO. This role ensures the effectiveness and productivity of the CEO by completing a wide variety of work for and on their behalf.
A high-level of administrative support falls into three main areas: driving alignment and attainment of the company goals, supporting the company culture, and maintaining the standards and customer focus of the organization. Work often involves driving projects, communications, being creative, event planning, and a variety of essential tasks such as calendar management, scheduling, and information
sifting. The ideal candidate will demonstrate an understanding of our business, priorities of the day and shall prioritize CEO events and information for review to maximize productivity.
Attention to detail, situational awareness, strong verbal and written communication are musts. A star in this role will find ways to help the CEO that are not assigned, becoming a multiplier for the office of the CEO. WHAT YOU'LL DO Primarily manage day to day duties to ensure the smooth operation of the CEO's activities including greeting visitors, managing contacts, and expense reports. Proactively minimizes the CEO's administrative load by finding opportunities to take work. Ability to function and
communicate with exceptional attention to detail, subtle cues, timing, and judgment in a high-paced environment.
Anticipate shifts in priorities, the flow of information, or changes while maintaining professionalism under simultaneous demands for attention. Organizes preparations for employee engagements, projects, and communications including logistics, presentations, creative, agendas, and follow-ups. Takes ownership to ensure successful and disciplined execution. Initiate and prepare correspondence including internal and external communication attune to influencing key takeaways and cultural activation. Manage and maintain multiple calendars, including recurring meetings and key events.
Use sound judgment to prioritize, prepare background information, and offer solutions to complex scheduling needs. Proactively review calendars and optimize the CEO's use of time against the top priorities of the business. Exhibit and maintain a high level of discretion, confidentiality, and good judgment to handle all and sensitive matters. Manage heavy travel coordination, as needed. From time to time, this may include personal events and family needs. Is thoughtful with people, helping enhance relationships (gifts, cards, thoughtful notes, etc. ) without being asked.
