statistics on past exhibitions including attendance, marketing, publications, membership and shop sales Updates the Exhibitions Module in Collections Management System for all projects making sure each exhibition is properly documented Add approved schedules and other documents to exhibition projects within shared sites for staff access Copy, distribute, and file exhibition materials as requested Assists in updating the exhibitions schedule and in ensuring resources are kept up to date in a variety of formats on a regular basis Procurement Handles all departmental procurement including the tracking of purchases orders, check requests, invoices, and reconciliations Assists with the preparation
of the departmental budget Assists staff within the department in preparing travel authorization forms and travel expense reports helping to ensure that travel is completed according to the Museum's travel policy Requests purchase orders and check requests for all departmental expenses, including exhibition and artist fees, in compliance with Museum's purchasing policy; tracks outstanding payments and reconciles orders when complete.
Arranges hotel, airfare, per diem and prepares informational packets for departmental, artist, contractor, and visiting VIP travel. Prepares travel authorization forms and travel expense reports, helping to ensure that travel is completed according to
the Museum's travel policy. Administrative Assistance Provides administrative assistance to the Exhibitions Department including scheduling meetings, taking meeting minutes, preparing and sending out correspondence, and handling incoming messages Assistant in facilitating agreements for outside contractors as directed and follows the contract through completion ensuring that payments are made as outlined in the agreement Mails catalogues to lenders according to contractual agreements Copies, distributes, files, mails, and archives department and exhibition materials as requested Creates work orders and operational requests as needed including procuring meeting spaces Provides technical support for in-person meetings Qualifications: High school diploma required; bachelor's degree in Art History, Business Administration, or an equivalent field preferred.
Prior experience working in a museum or gallery setting and working with The Museum System (TMS) is a plus. Job requires a strong attention to detail, excellent organizational and computer skills, a high level of proficiency in Microsoft Office Suite (particularly Excel) along with an ability to multi-task. Must be able to work well as part of a team and with a wide range of professionals in person and on the telephone.
