hiring a Mailroom and Check Disbursement Shipping Coordinator to join our Facility Management team at Corporate Headquarters. This person provides support within the Mail and Shipping Room and Printing Services, as well as administrative functions. They will coordinate the distribution of company checks daily and the daily activities of the Corporate Mail Room & Shipping/Receiving.
Principal and Essential Duties & Responsibilities Coordinates the physical distribution of all company checks released through the Data Center. Ensure scheduled distributions are met and chain of custody is maintained on all checks. Incorporate check run exceptions and desk checks into daily schedule. Maintain
preventative maintenance schedules on Check Disbursement equipment. Ensure best practices are followed with each department for streaming distribution of checks.
Maintain updated soft and hard copies of Standard Operating Procedures for Check Disbursement. Coordinate the daily activities of the Corporate Mail Room & Shipping/Receiving. Daily pickup and sorting of postal/intercompany mail along with the delivery of incoming shipments. Working directly with the contracted courier services ensure timely & accurate deliveries are made. Accurately process outgoing UPS shipments into the UPS World shipping system prior to 4:30pm daily. Training of associates in best practices for shipping to
include the availability & training of the UPS Campus Ship Desktop Software.
Knowledgeable and current with mail regulations, postal increases, UPS schedules/rates/ and procedures. Maintain UPS World Shipping System database with current addresses and cost centers. Ensure the effective and efficient movement of the intercompany mail, postal mail and UPS/Federal Express deliveries. Verify incoming deliveries for accuracy against the bill of ladings. Maintain a clean & organized mail room and shipping receiving area. Maintain a clean and operating mail van. Maintain an organized and stocked storage area for recycled office supplies, used toner cartridges, replenishment of scratch pads, intercompany envelopes and UPS shipping supplies.
Provide assistance with replenishing copiers throughout the Main Office & Technical Services Buildings with copier paper on a weekly basis. Minimum Education High School Diploma or equivalent with 2 - 4 years of relevant experience. The ideal candidate will have: Computer literate with experience in Outlook, Word and Power Point. Ability to demonstrate effective organizational skills, attention to details and multi-task. Strong oral and written communication skills. Will be required to interact with a wide variety of people at different levels within the company.
Ability to handle confidential documents and accurately distribute on a daily basis. A valid driver’s license. Environmental Factors and Physical Requirements Will need to lift and move equipment, supplies or deliveries from one place to another. Will need to access files, supplies and equipment. Some work is performed in a secured office environment and sitting behind a computer. During other times of the day would be In and Out of the building. The ability to lift 50/lbs. at one given time.
