About the Position: The Executive Assistant and Project Coordinator provides senior administrative support to the Vice President & CHRO, to include: Managing calendar, coordinating travel and other logistics, performing research, drafting correspondence and presentations, providing committee support, drafting agendas, and helping to maintain unit branding standards; Providing assistance and partnership in all situations utilizing creativity and problem-solving skills; and Acting as a confidential assistant to

the Vice President, maintaining the highest degree of discretion and good judgment.

Responsibilities: Provides Primary Administrative Support to VP and CHRO: Manages the scheduling and coordination of the Vice President's meetings, conferences, travel, scheduled calls, and daily activities.

Acknowledges, interprets, and prioritizes requests for appointments which require the Vice President's personal attention. Proactively anticipates how events and initiatives will coincide and impact the office and Vice President's time; Reviews and prioritizes incoming correspondence. Responds to a variety of inquiries from internal and external parties for the purpose of providing information

or direction and facilitating communication among parties.

Determines the priority/urgency of the issue, refers to appropriate functional area or consults with the Vice President. Prepares and edits outgoing correspondence and presentations; and Provides senior-level administrative support for special initiatives for the Chief Human Resources Officer. Acts as a conduit of information, data, and feedback between the Chief Human Resources Officer and HR leadership team, the Executive Vice President, President's staff, Deans, and other unit leads. Considers individual work items in the context of the larger HR unit and proactively informs the Vice President of important impacts.

Prepares and tracks travel reimbursements. Manages consultant invoice payments, purchases, webinars, and some supplies as needed; Special Projects for the Unit/VP: Special projects for the unit/Vice President, to include data production, drafting of original presentations/reports, creating new content from upcycling previous written material with a mind toward audience. University and HR Committees and HR Events: Supports the Vice President by planning, coordinating, and organizing committee assignments and preparation of materials for the Board of Visitors (BOV) meetings.

Schedules meetings, obtains room, and prepares agenda. Acts as liaison with other departments and committees; maintains effective internal and external business relationships. Assists as needed on HR-specific events or initiatives, including planning, staffing, and evaluation. Prepares reports, documents, and correspondence of a confidential and non-confidential nature (e. g. letters, operational procedures, manuals, handbooks, meeting minutes, agenda, etc. ) for the purpose of documenting activities, providing written reference, and/or conveying information to committee members. Provides assistance, research data, and surveys for the committee as needed.

Data Management Activities: Develops and maintains confidential electronic and hard copy filing systems to ensure data integrity and proper records management. Maintains a wide variety of confidential manual and electronic documents, files, and records (e. g. HR files, Senior Leadership personnel files, committee files, etc. ) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements. Required Qualifications: Bachelor's degree in related field; or an equivalent combination of education and experience; Extensive experience with executive administrative support; Demonstrated experience with complex calendar management; Experience with collaboration and communication with diverse individuals with differing needs; Excellent interpersonal skills and communication skills, including the ability to work effectively with staff and external constituents at all levels of the university in electronic, telephonic, and written communication; Proficient in the use of MS Office, including Microsoft Word, Excel and Power Point; Exceptional relationship building skills; Ability to work effectively in a fast-paced environment with complex instructions, multiple and competing tasks, and flexibility in an ever-evolving work day; Ability to handle highly confidential information with discretion and professionalism; Ability to discern volatile, sensitive and political situations, and respond appropriately; and Ability to work effectively as part of a team as well as independently.

Preferred Qualifications: Experience in office management in a large complex organization, university or public environment; Experience accessing databases, queries, running reports, and other similar actions; General knowledge of HR functions and processes; File sharing and collaboration skills in MS Teams or Sharepoint; and Associate Professional in Human Resources certification (a PHR).
